Our Commitment
Camp Quality's Privacy Policy covers personal information that
may be provided to us by applicants, employees (including past
employees), campers, their families, volunteers and
donors. Camp Quality recognises that the privacy of these
individuals is very important and we are committed to promoting
confidence in the manner in which personal information is handled
by us. How Camp Quality collects, uses, discloses, and protects
this information is outlined below.
Supporting Best Practice
Camp Quality (CQ) is committed to supporting the National
Principles for the Fair Handling of Personal Information
established by the Australian Federal Privacy Commissioner and
embodied in the Privacy Amendment (Private Sector) Act 2000. Our
aim is both to support best practice and to ensure that we comply
with principles that form the basis of laws introduced to
strengthen privacy protection for individuals in Australia.
We believe that in supporting best practice this policy will
address any potential concerns applicants, employees, campers,
families, volunteers and donors may have about how personal
information they provide to us is stored, used and
accessed.
Collection and Storage of Information
Camp Quality receives and stores personal information provided
by applicants, employees, campers, their families, volunteers and
donors to us in writing, via email, via the telephone or on our
website when applying, enquiring, or registering for employment,
volunteer and camp/activity opportunities with Camp Quality, or
when donating funds or services to Camp Quality. Camp Quality also
receives and stores information provided by employees and
volunteers for personnel administration processes and purposes.
Wherever it is lawful and practicable, Camp Quality will
endeavour to provide applicants, employees, campers, their
families, volunteers and donors with the option of not identifying
themselves or not providing personal information when seeking
opportunities with us. However, failure to provide the full and
complete information we request may result in a limited ability on
our part to assess suitability for attending camp/activities,
volunteering with Camp Quality, and/or being employed, and/or being
offered employment with Camp Quality.
No personal information is collected when browsing the Camp
Quality website anonymously. (Anonymous browsing is when personally
identifiable information is not required by an individual to gain
access to our web site). In addition, personally identifiable
information such as name, birth date, and contact details (e-mail
addresses) are only collected when individuals make an enquiry or
make an employment or volunteer application. All other necessary
information will be requested from applicants, employees,
volunteers, campers and their families directly.
Information collected is kept for as long as applicants wish to
be considered for employment or for volunteer vacancies or as
required by law as an employee and/or former employee of Camp
Quality. Camper and their family's personal information is kept for
the duration of their relationship with Camp Quality. When personal
information is no longer needed for these purposes we will destroy
or permanently render anonymous any information held by Camp
Quality. The same approach is taken to records pertaining to donors
to Camp Quality.
Use and Disclosure of Information
The primary purpose in collecting information from individuals
is to enable us to receive and assess applications for employment
and/or volunteer services to Camp Quality and to maintain
communication with our campers, their families and our donors. We
also collect personal information for the purposes of helping our
employees rehabilitate, if necessary, and for assessing the
suitability of our employees and volunteers working with children,
as required under Australian child protection legislation.
Camp Quality may share applicants', employees', volunteers',
campers' and their families' personal information with other
parties (such as the Camp Quality Employee Assistance Program,
medical practitioners, past employers/referees) who provide
assessment information and services to Camp Quality and who provide
medical assistance to our campers. These parties may be used to
provide information on an applicant's or volunteer's suitability
for employment with Camp Quality and to assist in the maintenance
of the health of our campers.
Camp Quality may also disclose personal information
to:
- other employees and/or volunteers (ie medical staff) of Camp
Quality, if appropriate
- Board Members of Camp Quality, if appropriate
- a worker's compensation body
- a rehabilitation provider
- the Australian Federal Police.
Camp Quality does not permit these parties to use such
information for any other purpose than to perform the services that
Camp Quality has instructed them to provide.
In some instances, Camp Quality may also collect sensitive
information about applicants, such as information about their
membership to a professional or trade association or trade union,
their health (including disability), their racial or ethnic origin,
or any criminal record. Where Camp Quality collects this type
of information, applicants' consent will be obtained.
There may be occasions when Camp Quality obtains personal
information about applicants from a third party, for example from
nominated referees with the aim of collecting performance feedback
about applicants' previous work. If Camp Quality does not have
prior consent, it will take reasonable steps to inform applicants
that personal information of this kind shall be collected.
Camp Quality will not, without consent, disclose personal
information for any purpose (a secondary purpose) other than for
the main purpose (primary purpose) of fulfilling Camp Quality's
commitments to applicants, except where:
(a) it is required or authorised by
law or for purposes of law enforcement and matters directly related
to law enforcement or the prevention of unlawful activity;
(b) the secondary purpose is related
to the primary purpose (or directly related when sensitive
information is involved) and there is a reasonable expectation that
Camp Quality would use or disclose the information in the
circumstances;
(c) Camp Quality reasonably believes
it is necessary to prevent any serious and imminent threat to any
person's life, health or safety or the public's health or
safety. Camp Quality will not otherwise disclose your personal
information to any other party without your consent.
Storage and Security of Personal Information
Camp Quality will use all reasonable endeavours to ensure that
you provide personal information in a secure and confidential
environment and when the information is no longer needed it will be
destroyed or permanently rendered anonymous.
Where indicated by a lock (on the browser window), we protect
the security of your information during transmission by using
software which encrypts information inputted. We also take care to
ensure that we have security measures in place to protect against
the loss, misuse, unauthorised access, alteration, modification, or
disclosure of user data under our control.
The security of any information (including personal information)
downloaded and stored on applicants', employees', campers' (and
families') and volunteers' PC\Servers etc is the responsibility of
the individual. The individual is also responsible for the correct
configuration of the hardware and software he/she uses to access
the Camp Quality website, along with the physical security and
maintenance of that equipment.
Camp Quality imposes strict rules on its employees who have
access either to the databases that store user information and
personnel files and while we cannot guarantee that any unauthorised
access, disclosure, loss, misuse, or alteration to your data will
not occur, we will take all reasonable steps to prevent such
unfortunate occurrences.
Applicants, employees, campers, their families and volunteers
accept the inherent security implications of dealing online over
the Internet and will not hold Camp Quality or its agents or
suppliers responsible for any breach of security.
Accessing and Changing Your Personal Information
Camp Quality attempts to ensure that all personal information
collected and stored in its files and database systems is correct
and accurate. Applicants, employees, campers, their families and
volunteers may at any time request access to the information Camp
Quality has collected from them and obtain a more in-depth
explanation about how the information is used by contacting the
Privacy Officer (Human Resources Manager). Camp Quality will
endeavour to meet or advise of the outcome of such a request within
seven business days of receipt.
If at any time applicants, employees, campers, their families,
volunteers or donors wish to change personal information that is
incorrect, or wish to have their personal information deleted,
please ensure this is affected by contacting the Privacy Officer.
Unless personal information is required for administrative or legal
reasons Camp Quality will take all reasonable steps to meet such
requests at the earliest possible opportunity.
Applicants, employees, campers, their families, volunteers and
donors also have the right to request access to their personal
information at any time. The Privacy Officer can assist with such a
request and this information will be forwarded within five working
days.
Employees and/or volunteers are not permitted to destroy or
render useless information regarding applicants, employees,
campers, their families, volunteers and donors without the prior
consent of the CEO and/or General Manager. For any privacy issues

in the National Office.
