1. Policy Statement

1.1 Camp Quality respects and is committed to protecting the privacy of the individuals whose Personal and/or Sensitive Information it collects. We are bound by the Privacy Act 1988 (Cth).

1.2 This policy sets out how we collect information about an individual, why we need the information and to whom we disclose the information. It also details how we manage Personal Information, including in relation to our website located at https://www.campquality.org.au/, and how stakeholders can make a complaint regarding any privacy issue or concern.

2. Definitions

2.1 Government Related Identifiers has the meaning given in section 6 of the Privacy Act 1988 (Cth).

2.2 Multi-factor Authentication: is a multi-step login process requiring the user to provide two or more methods of electronic authentication to gain access to a resource such as a website, online account or platform.

2.3 Personal Information: has the meaning given in section 6 of the Privacy Act 1988 (Cth).

2.4 By providing Personal Information to Camp Quality, you consent to us collecting, holding, using and disclosing your Personal Information in accordance with and for the purposes specified in this policy.

2.5  You are not required to provide Personal Information to Camp Quality. However, if you do not provide us with all the information we request, the services we provide to you may be affected. For example, we may not be able to:

2.5.1provide the services and programs requested;

2.5.2 consider an application to join Camp Quality as an employee, volunteer or contractor; and/or

2.5.3 respond to requests for information

3. Policy practice and procedure

3.1 Collecting Personal Information

3.1.1 The types of Personal Information Camp Quality collect, and hold may include name, date of birth, address, phone number, email address of Involved Persons.

3.1.2 Camp Quality collects Personal Information in a number of ways, including:

3.1.2.1 directly from Involved Persons, either in person, on the telephone, via mail, email or online through our Website; and

3.1.2.2 from third parties such as contractors, health professionals, government bodies and social services, with the consent of the Involved Person.

3.1.3 In circumstances where information has been collected from third parties Camp Quality takes reasonable steps to verify that consent has been obtained or will obtain such permission itself and ensures the purposes for which information is collected is made clear to the individual.

3.1.4 Camp Quality collects and holds this information for several purposes, including but not limited to:

3.1.4.1 verification of identity;

3.1.4.2 to enable access to services or programs;

3.1.4.3 to enable Camp Quality to establish and administer its services;

3.1.4.4 to handle enquiries;

3.1.4.5 to handle communications with individuals, agencies, or representatives;

3.1.4.6 to provide electronic communications;

3.1.4.7 to conduct recruitment processes, including the assessment of suitability for future roles;

3.1.4.8 to conduct marketing activities, including research and analysis in relation to Camp Quality, as well as marketing communications and targeted advertising by telephone, email, online (including websites and mobile apps) and other means, unless you opt out;

3.1.4.9 promoting and providing fundraising activities;

3.1.4.10 providing, administering, developing, and evaluating our services and programs;

3.1.4.11 managing our relationship with you;

3.1.4.12 managing relationships with families;

3.1.4.13 health promotion; and

3.1.4.14 to comply with legal and regulatory obligations including our duty of care and child protection obligations, any recommendation, request, rule, order or direction of any regulatory, governmental authority, court, or tribunal.

3.1.5 We may also use Personal Information for related purposes that would be reasonably expected by you.

3.1.6 Camp Quality collects photographs and videos of various individuals that may be displayed in print and online, including Camp Quality’s website and social media accounts.

3.1.7 Photographs and videos collected by Camp Quality are only collected and displayed with the expressed consent of the individuals involved or where the individual is a minor, the expressed consent of the minor’s legal guardian.

3.1.8 Consent to the usage of photos and videos can be removed at any time by contacting Camp Quality’s Privacy Officer (contact details provided at the foot of this policy).

3.2 Use of Personal Information

3.2.1 Camp Quality agrees not to use or disclose your Personal Information for any other purpose than:

3.2.1.1 the purpose for which it has been collected and

3.2.1.2 unless the information is Sensitive Information, a reasonably related secondary purpose, which you would reasonably expect;

Unless:

3.2.1.3 you have consented to that other purpose; or

3.2.1.4 we are permitted to do so by law.

3.2.2 Other uses of personal information include recording, organising, retrieving, processing, aligning, correcting, combining, de-identifying, and deleting personal information.

3.3 Disclosure of Personal Information

Depending on the services, or the relationship to Camp Quality, an individual’s Personal Information may be disclosed to:

3.3.1 an employer;

3.3.2 a bank or financial institution;

3.3.3 to third party suppliers and vendors to the extent necessary for the establishment, provision, and administration of the applicable services;

3.3.4 an insurer;

3.3.5 personnel, agents, contractors, and service providers of Camp Quality involved in providing managing or administering services;

3.3.6 companies who provide information and infrastructure systems to Camp Quality, including cloud storage providers;

3.3.7 anyone lawfully acting on the individual’s behalf;

3.3.8 professional advisors, consultants, accountants, lawyers, and auditors;

3.3.9 anyone to whom consent has been provided; and

3.3.10 any others in order to comply with our legal obligations.

3.3.11 The people to whom we may disclose your Personal Information for processing and storage purposes may be located outside of Australia.

3.3.12 Some third parties Camp Quality discloses Personal Information to are located in the United States.

3.4 Direct Marketing

3.4.1 Personal information may be used from time to time to distribute current information pertaining to areas including (but not limited to) services and programs, fundraising events and opportunities, and changes to Camp Quality.

3.4.2 By providing Personal Information, consent is given to receiving such information from Camp Quality, including by phone, email, SMS, social media, and any other means, until the individual unsubscribes.

3.4.3 Sensitive Information will not be used or disclosed for direct marketing purposes unless consent is expressly provided for that kind of use or disclosure.

3.4.4 Camp Quality will not sell or disclose individuals’ Personal Information to a third party for marketing purposes without express consent from the individual.

3.5 Cookies and website data

3.5.1 IP addresses may be collected to enable interaction with Camp Quality’s website.

3.5.2 Camp Quality uses cookies to collect information on how its websites are used, including the number of visitors, geographical location, information about browsers and devices, and the pages viewed, and the length of time spent on Camp Quality’s websites.

3.5.3 This information provides Camp Quality with insights into website and marketing campaign performance and is used to improve that performance.

3.5.4 Camp Quality does not sell or otherwise commercialise the information we obtain through cookies.

3.6 Other organisations’ websites

3.6.1 Camp Quality’s Website and our email communications may contain links to other websites. We do not control these websites or any of their content and if youvisit these websites, they will be governed by their own terms of use (including privacy policies).

3.7 Using Government Related Identifiers

3.7.1 Government Related Identifiers (e.g. drivers licence number or tax file number) are not disclosed other than to the extent required or authorised by law.

3.8 Protecting personal information

3.8.1 Camp Quality holds Personal Information securely.

3.8.2 Camp Quality takes steps as are reasonable in the circumstances to protect Personal Information from misuse, interference, and loss and from unauthorised access, modification, and disclosure. These steps include:

3.8.2.1 using Payment Card Industry Data Security Standards (PCIDSS) software and processes;

3.8.2.2 restricting the number of employees and/or volunteers who have access to Personal Information; and

3.8.2.3 using Multi-factor Authentication and complex password requirements.

3.8.3 Camp Quality takes reasonable steps to ensure, when information is no longer needed, it is destroyed or permanently rendered anonymous (de-identified).

3.9 Access to or Correction of Your Personal Information

3.9.1 Camp Quality seeks to ensure all Personal Information collected and stored in its files and database systems is correct and accurate.

3.9.2 Individuals may at any time request access to, or correction of, the Personal Information Camp Quality holds by contacting the Privacy Officer by email at [email protected].

3.9.3 Camp Quality will endeavour to meet or advise of the outcome of such a request within five business days of receipt.

3.9.4 Camp Quality relies on individuals to inform if the information held is inaccurate and / or incomplete.

3.10 Making a Complaint

3.10.2 Camp Quality may request that complaints be made in writing, which will be responded to within a reasonable period (usually 30 days).

3.10.3 An unresolved complaint may be made to the Office of the Australian Information Commissioner (visit oaic.gov.au for further information).

4. Changes to this Privacy Policy

4.1 We may, from time to time, amend this policy, in whole or part, in our sole discretion. Any changes to this Privacy Policy will be effective immediately upon the posting of the revised Privacy Policy on the Website.

4.2 We will announce the change on the home page of the Website. However, in any event, by continuing to access our services following any changes, you will be deemed to have agreed to such changes.

4.3 If you do not agree with the terms of this policy, as amended from time to time, in whole or part, you must not access our services including the Website.
